Booking & Availability

When should I book for the Village of Lights season?

The Village of Lights season, from late November through early January, is our busiest time of year. Weekends regularly sell out months in advance, and many guests reserve the moment dates open, roughly one year ahead. If your dates are flexible, midweek stays offer the best availability and lower rates.

How far in advance can I book a room?

Reservations open approximately one year in advance. If your dates are further out than that, they are not bookable yet; check back as your dates approach the one-year mark.

The booking calendar shows no availability for my dates. Are you sold out?

Not necessarily. Reservations open approximately one year in advance, so if your dates are further out, they simply have not been released yet. If your dates are within the year and nothing shows, we are fully booked for that stay. Availability updates in real time as guests change their plans, so it is always worth checking back. You can also call us at (888) 717-7878 and our team will help you find dates that work.

Do you have a waitlist or cancellation list for sold-out dates?

We do not keep a waitlist. When a reservation is cancelled, the room returns to online availability immediately, so the booking page on our website is always the most current picture. If your dates show as sold out, check back regularly, especially two to six weeks before your stay, when plans most often change.

Why should I book directly with the Lodge?

Booking direct at bavarianlodge.com comes with our best-rate guarantee, our most flexible cancellation options, and a reservation our own team can adjust for you. Reservations made through third-party sites are subject to that site’s policies and fees. See our Direct Advantage page for details.

I need more than one room. How do I book for a group?

You can book multiple rooms in a single reservation on our website. For groups of eight rooms or more, family reunions, or events, our team can help directly. Reach us through the group sales form or call (888) 717-7878.

Do you require a deposit to hold my reservation?

A valid credit card is required to guarantee every reservation. Any deposit or prepayment required by your rate plan is shown during the booking process and restated in your confirmation email.

Will there be a hold on my credit card?

Yes. At approximately 4:00 PM on your arrival day, a $150 authorization hold is placed on the card on file for incidentals. This is a temporary hold, not a charge, and any unused portion is released after check-out, subject to your bank’s processing time.

What is the cancellation policy?

Cancellation policies vary by rate plan, season, room type, and festival dates. The policy that applies to your stay is displayed during booking and confirmed in your reservation email. If you are unsure, check that email or call us before your cancellation deadline.

Do you offer refunds or date changes for wildfire smoke?

Smoke, haze, and air quality conditions are a natural, recurring part of late summer in the Cascades and are not grounds for refunds, credits, or date changes outside your reservation’s standard cancellation window. If the Lodge itself closes or comes under an evacuation order during your stay, you receive a full refund of unused nights or free rebooking, whichever you prefer.

Do you offer refunds or date changes for winter weather or pass closures?

Winter driving conditions, including chain requirements and temporary closures of Stevens Pass on US-2, Snoqualmie Pass on I-90, and Blewett Pass on US-97, are a normal part of mountain travel from November through March and are not grounds for refunds, credits, or date changes outside your reservation’s standard cancellation window. Because of this, we strongly recommend travel insurance for winter stays. Check WSDOT pass conditions before you drive, allow extra travel time, and consider arriving earlier in the day. If the Lodge itself closes or comes under an evacuation order during your stay, you receive a full refund of unused nights or free rebooking, whichever you prefer. Full details are in our Terms & Conditions.

I booked through Booking.com or Expedia. Can you change or cancel my reservation?

Reservations made through third-party sites follow the cancellation policy of that site, and changes generally must go through them. Contact the site you booked with directly. Booking direct with us comes with the best rate and the most flexible options.

Check-In & Check-Out

What time are check-in and check-out?

Check-in is at 4:00 PM and check-out is at 11:00 AM.

Can I check in early or check out late?

Our rooms are ready at 4:00 PM and check-out is at 11:00 AM. If your travels bring you in ahead of schedule, or you would love one more slow morning by the fire, it never hurts to ask at the desk. When the day allows we will try to make it work, but we cannot promise it, especially on festival weekends. In the meantime, we are happy to hold your bags while you explore the village.

Can you store my luggage before check-in or after check-out?

Is the front desk open overnight?

Yes. Our front desk is staffed 24 hours a day.

Is there a minimum age to stay at the Lodge?

Guests of all ages are welcome when staying with family. The registered guest must be at least 21 years of age, so guests under 21 need a parent or guardian staying with them.

Yes. Address it with your name and arrival date, and we will hold it at the front desk for you.

Breakfast & Dining

Is breakfast included?

Yes. A full hot breakfast buffet is included with every stay, served daily from 7:00 AM to 10:00 AM.

Is there a restaurant or bar at the Lodge?

Yes. The Woodsman Pub, our cozy micro pub inside the Lodge, serves a full menu daily from 3:00 PM to 10:00 PM. Expect warm Bavarian pretzels with Beecher’s cheese, charcuterie boards, sliders, flatbread pizzas, salads, desserts, and a kids menu, alongside signature cocktails like the Woodsman Negroni and the Black Forest Manhattan, Washington craft brews and ciders on draft next to Munich classics, and a Washington-focused wine list. The covered patio has village views, shuffleboard, and cornhole, and it is all a slippers-distance walk from your room.

Can I charge food and drinks to my room?

Yes. Purchases at the Woodsman Pub can be charged to your room and settled at check-out.

Pool, Parking & Amenities

Do you have a pool and hot tubs?

Yes. Our outdoor heated pool is open year-round, and two outdoor hot tubs steam away beside it in every season, daily from 9:00 AM to 9:00 PM. A soak while snow falls on the village is a guest favorite.

Is parking free?

Yes. On-site parking is complimentary for all guests. During festival weekends this is one of the best perks of staying with us: park once and walk to everything, because the village is directly across the street.

Do you have electric vehicle charging?

We do not have public EV charging stations on site. A limited number of parking lot electrical outlets are available for guests traveling with a portable charger, subject to availability. Ask the front desk when you arrive and we will point you to one if it is open.

Is Wi-Fi free?

Yes. High-speed Wi-Fi is complimentary in every room and throughout the property.

Do you have a fitness center?

We do not have a fitness center on site, but there are fitness centers close by and our front desk is happy to point you to one. Many guests also get their miles in the Leavenworth way: walking the village, the riverfront trails minutes from our door, and a swim in the year-round heated pool.

Do you sell gift cards?

Yes. Bavarian Lodge gift cards are available online on our Gift Cards page and make an easy gift for anyone who loves Leavenworth.

Pets & Smoking

Are pets allowed?

No. The Bavarian Lodge and its entire grounds are pet free, which many guests with allergies tell us is exactly why they stay here. Service animals are always welcome in accordance with the ADA. Guests who bring pets into rooms are charged a minimum $300 cleaning fee.

Is smoking allowed anywhere on the property?

No. The Lodge and its entire grounds are 100% smoke free, including vaping. Smoking in a room results in a minimum $300 cleaning fee.

How can I check current weather and conditions?

Our live webcam shows the village in real time. In winter, check WSDOT for US-2 and Stevens Pass conditions before you drive.
